Here’s all the information you need about the terms and conditions for booking a trip with us. Please review it carefully, and feel free to reach out at info.talesandtrails@gmail.com if you have any questions or need more details.
You hereby agree that these terms and conditions, together with our Privacy Policy, Terms of Use of our website and Trip Guidelines, as well as any other relevant information we have provided (including but not limited to details in all the pages of our website) (“T&Cs”), form a written contract with Tales and Trails (registered name: Lights and Trails Private Limited) a private limited company with registration no. U79120KA2023PTC175181 and registered office at #198, CMH Road, 2nd floor, Desk no. 265, Indiranagar, Bangalore, Karnataka 560038 (hereinafter referred to as “Tales and Trails” / “us”). These T&Cs outline the mutual obligations and rights concerning your booking with Tales and Trails.
Gender. Words used in these T&Cs regardless of the gender specifically used, shall be deemed and construed to include any other gender, as the context requires.
By confirming your booking, the primary individual named on the reservation (“you”) affirms on behalf of all participants listed that:
(1) He/she has read and understood the T&Cs, and agrees to abide by them.
(2) He/she acknowledges and accepts the inherent risks associated with adventure travel.
(3) He/she consents to our processing of personal data in line with our Privacy Policy and is authorized to disclose personal details of everyone included in the booking to us, which may include sensitive information like health conditions, disabilities, and dietary needs.
(4) He/she confirms that all members of the party are over 18 years of age and meet any age requirements specified for the booked services.
(5) He/she declares that no participant has any pre-existing medical condition or disability that may interfere with their active participation in the activities organized by Tales and Trails. If this is not the case, he/she agrees to consult with us before making a reservation so we can determine the suitability of the planned travel arrangements.
(6) He/she accepts financial responsibility for making all payments for the booking on behalf of everyone named on the reservation.
These terms ensure all participants are adequately prepared and meet the necessary conditions for their upcoming travel with Tales and Trails. If you have any concerns or questions about these T&Cs, please reach out to us.
A. This Contract
This contract is between you and us. We both agree that Indian law (and no other law) will apply to these T&Cs and to any dispute, claim, or other matter of any description that arises between you and us. We both also agree that any dispute, claim, or other matter of any description (and whether or not involving any personal injury) that arises between us must be dealt with by the Courts of Kerala only.
By accessing or using this website or communicating with us, you confirm that you have read, understood, and agree to the T&Cs of Tales and Trails. Your continued use of the website constitutes your acceptance of these terms. Please review these T&Cs regularly, as they may be updated periodically. Your ongoing use of the website signifies your acceptance of any modifications.
B. Invite Requests, Bookings and Payments
When a booking/ invite request is submitted to us, it will be treated only as a provisional request subject to our confirmation. Your booking is accepted only from the date when an email is sent by us to you confirming that your ‘request’ has been accepted and has been confirmed. It is hereby clarified that any acknowledgment of your booking request given by us on our website or by email pending our acceptance of your request, is not to be treated as a confirmation of your booking.
It is advised to you to not book flights or make other travel arrangements for your chosen Expedition until you have received written confirmation of availability from us. Should you decide to make these arrangements before obtaining our written confirmation, we will not be responsible for reimbursing any costs incurred if your booking turns out to be unavailable.
To confirm your booking once you receive an invite from us to join our trip, you must pay Tales and Trails (or its authorized agent, if directed to do so by us) an advance payment/ deposit (“deposit”) of an amount as specified on the relevant Expedition page or otherwise as specified by us to you, at the time of booking.
Before your booking is confirmed, we reserve the right to modify our trip prices as specified on the website or otherwise as communicated by us to you at the time of booking.
We reserve the right to decline any booking at our absolute discretion.
Once you submit a request for booking a trip with us through any mode of communication, we will communicate with you by email. You must accordingly check your emails on a regular basis. We may also contact you by telephone and/or text message. References in these T&Cs to “send” and “in writing” or similar include communication by email. You should contact us by email if you need to do so for any of the reasons mentioned in these booking conditions (for example, to request any modifications). All emails should be sent to info.talesandtrails@gmail.com.
The balance of all monies due for the tour (after deducting the amount of deposit already paid to us), including any surcharges applicable at that time, must be received by us (or our authorized agent) no later than the number of days before the start of your tour, as specified on the relevant Expedition page or otherwise as communicated by us to you.
Please note that for select tours, full payment must be received at an earlier stage before the start of your tour. You will be advised at the time of booking when this is the case. Such communication to you by us will be deemed to be a part of this contract.
If we do not receive this balance in full and on time, we reserve the right to cancel your booking, in which case the cancellation charges set out in Clause 4 below will become payable.
All payments to us can be made through the method as communicated by us to you via email or other communication channels. Only payments made to the specified bank accounts/ transfer details will be acceptable. We do not recognise and are not liable or responsible for payments being made by you to anyone else.
We are not obligated to provide any discount or refund unless it is confirmed in writing by us.
C. Expedition Pricing
The pricing for our trips (each trip, an “Expedition”) is available on our website, in INR. Prices are subject to change due to variations in taxes, or changes in transportation and fuel costs or other circumstances. Our prices are also subject to seasonal adjustments and may vary based on demand and market conditions.
If substantial cost increases in our Expedition price occur due to external factors beyond our control—such as rising fuel prices, higher taxes or fees imposed by third parties, or changes in expenses from our transport and accommodation providers—then such additional costs may be transferred to you, at our discretion.
If there is any reduction in our Expedition price due to the factors mentioned above after you’ve made your booking, we will issue a refund to you, minus an administrative fee. However, no refunds for price adjustments will be provided within the last 20 days before departure.
D. Changes and Cancellations
CHANGES TO YOUR BOOKING/ TRANSFER TO ANOTHER DATE OR EXPEDITION
If you want to change any details of your booking after receiving our email confirmation of your trip booking, please inform us in writing as soon as possible. Although we will do our best to accommodate your request, we do not promise any commitment to do so.
Changes or transfers of your booking to a different departure date or Expedition can be made up to such number of days before departure, as specified on the relevant Expedition page, if any. Any changes made after this period will be treated as cancellations and subject to the charges outlined in this Clause 4. All changes are subject to availability.
If a change or transfer to a different departure date or Expedition can be made, additional costs incurred by us or our suppliers may be passed on to you. You may make such changes or transfer only once. If you cancel after any change or transfer, the initial deposit and subsequent payments will not be credited but will follow our standard cancellation policy as set out in this Clause 4.
If we cannot accommodate your change or transfer request and you decide not to proceed with the original booking, it will be treated as a cancellation by you, and a cancellation fee will apply according to this Clause 4.
E. TRANSFER OF BOOKING TO ANOTHER PERSON
If you or any member of your group is unable to travel, you may transfer your/ that member’s place to someone else, subject to the following conditions:
- All conditions applicable to the Expedition are satisfied by the transferee and is/are introduced by you to us.
- We are notified at least 15 days prior to the departure date.
- Any outstanding payment in relation to the Expedition price, and any additional charges pursuant to the transfer as informed to you by us, are paid at least 10 days prior to the departure date.
- The transferee agrees to abide by these booking conditions and all other terms of the contract between us.
Both you and the transferee remain jointly and severally liable for payment of all sums. Failure to find a replacement may result in payment of cancellation charges, as outlined in this Clause 4.
F. CANCELLATION OF BOOKING BEFORE DEPARTURE
If you or anyone in your group needs to cancel a confirmed booking, you must provide written notification to us. Such cancellation will only take effect on the date we receive your written notice.
For any cancellations, we charge cancellation fees which are calculated as a percentage of the total tour price per person canceling, excluding any charges for any modifications and insurance premiums. Please be informed that the following is subject to change according to any changes on account of supplier’s costs and the same will be communicated to you at the time of booking/ cancellation, if applicable.
- Cancel within 90 days before the Trip: Enjoy a full refund—no questions asked!
- Cancel within 60 – 90 days before the Trip: You’ll receive a 70% refund.
- Cancel within 30 – 60 days before the Trip: You’ll receive a 30% refund.
- Cancel within 30 days before the Trip: Unfortunately, no refund will be available.
Depending on the reason for cancellation, you may be able to reclaim the cancellation charges under the terms of the insurance policy, less any applicable excess. All claims must be made directly to the insurance company.
Alternatively, you may also choose to receive a credit voucher equal to the amount paid for any canceled booking. This voucher must be used for a new booking within 3 months of issuance. The voucher is non-transferable, redeemable only once, and cannot be exchanged for cash. If the new booking costs less than the value of the voucher, no additional refund or credit will be given.
Apart from the circumstances as set out in these T&Cs, no refunds will be given for passengers not traveling on the departure date.
G. MODIFICATIONS OR CANCELLATIONS BY US
We organize our expeditions well ahead of time, but there may be instances where we need to adjust or cancel confirmed bookings. If this happens, we will notify you as soon as possible. Depending on the situation, you may be eligible for a refund, a discount, or the option to transfer to a different Expedition.
Sometimes local conditions or events may necessitate changes to the planned itinerary. While Tales and Trails will make every effort to operate each Expedition as advertised, we reserve the right to make last-minute changes for the safety and comfort of our participants, without being liable for such changes. This could include altering accommodation, transport methods, or even the itinerary sequence. Participants will be informed of such changes as soon as practicable.
H. PREMATURE TERMINATION OF EXPEDITION
If you need to terminate your participation in the Expedition before it ends, we will not be able to issue refunds. However, depending on your situation, your travel insurance might cover some of these expenses. We suggest checking your insurance policy to verify whether it provides coverage for trip interruptions or termination.
I. CANCELLATION DUE TO FORCE MAJEURE
In case of occurrence of unavoidable and extraordinary circumstances, Tales and Trails will not be liable for any changes or cancellations effected to your bookings. For the purposes of this clause, “unavoidable and extraordinary circumstances” means war, threat of war, riot, terrorist activity, natural or nuclear disaster, pandemic, epidemic or any other situation that we deem to be unavoidable and extraordinary circumstance. However, we will endeavor to provide prompt assistance and, where possible, offer alternative arrangements or refunds as per our policies.
J. Liabilities
It is your responsibility to ensure that you and everyone in your group fulfills the necessary travel requirements, such as having valid passports, visas, and meeting health regulations. We cannot be held liable for any travel issues arising from failure to comply with these requirements. Furthermore, you agree to follow the directions and instructions of our leaders and staff throughout your Expedition.
K. Travel Insurance
Obtaining your own travel insurance is a mandatory requirement for participating in some of our Expeditions, as specified on the concerned Expedition page. You must obtain comprehensive coverage that includes medical expenses, injury, death, repatriation, cancellation, and trip interruption. You must verify that your policy covers all the activities included in the Expedition you are booking. It is mandatory to carry proof of insurance with you throughout your Expedition. Tales and Trails will not be liable for any expenses arising from inadequate insurance coverage.
L. Disclaimer on Accuracy of Data
We make every effort to ensure that the information in our promotional materials is accurate, but occasional errors may occur. Tales and Trails reserves the right to correct any mistakes or update Expedition details as needed without being liable for any resulting changes.
M. Optional Activities
Activities that are not included in the main Expedition package are considered optional and are not covered under your contract with Tales and Trails. These additional activities may involve extra costs and are subject to their own terms and conditions set by the local providers of such activities.
N. Travel Documents and Health Checks
All participants (including transferees of bookings) must ensure they have valid travel documents for all destinations included in their Expedition. Your passport should be valid for at least six months beyond the end date of your Expedition. Visa requirements differ depending on your destination and nationality, so it is your responsibility to obtain all necessary visas before departure. Some Expeditions may also require specific vaccinations or health checks which you must complete at your own cost and be able to produce proof of vaccinations and health status as mandated by international health regulations or travel destinations.
O. Disclosure of Medical Conditions
At the time of booking, you must disclose any medical conditions, disabilities, or dietary needs that could impact your participation in an Expedition. If any such issues arise after booking, you are required to inform us immediately. While we will make reasonable efforts to accommodate special needs, we cannot guarantee this in every situation. For Expeditions that involve significant physical activity or travel to remote areas, a doctor’s certificate confirming your fitness to travel may be required.
P. Legal Compliances and Respecting Local Customs
We adhere to all relevant national and international travel and tourism regulations. Please note that travel conditions in certain areas may be influenced by local laws, restrictions, or situations such as political events or health crises, including pandemics.
You must adhere to all local laws and customs at the destinations you visit during an Expedition. Tales and Trails is not liable for any legal or cultural breach by participants. Information on local laws and customs can be provided upon request but it is your responsibility to ensure you are compliant with international travel advisories and local regulations.
Q. Data Protection
We are committed to protecting your privacy and comply with all relevant data protection regulations. Any personal information collected by Tales and Trails will be used exclusively for booking and managing your Expedition and for related communications. For more details, please review our Privacy Policy available on our website.
R. Special Assistance
If you have special needs or require specific assistance, please inform Tales and Trails at the time of booking. While we aim to make our Expeditions accessible to everyone, some activities or locations might not be suitable for all participants. We will make every effort to accommodate your needs or recommend alternative Expeditions that better match your requirements.
S. Environmental Protection
At Tales and Trails, we are dedicated to promoting sustainable and responsible tourism practices. You must follow local environmental regulations and guidelines, work to reduce their ecological impact, and avoid actions that could harm natural or cultural sites. This includes adhering to proper waste disposal methods, respecting wildlife, and honoring local customs and landmarks.
T. Group Conduct
Participants are expected to contribute positively to the group experience. Behavior that disrupts the group dynamic or adversely affects other members will not be tolerated. Tales and Trails reserves the right to remove any participant from an Expedition if their conduct is deemed detrimental to the group’s well-being or the effective operation of the Expedition, without providing a refund or any other compensation on account of such removal.
U. Documentation and Information Accuracy
Participants must ensure that all information provided during the booking process, including personal details, medical conditions, and special needs, is accurate. Tales and Trails depends on this information to make suitable travel arrangements and will not be responsible for any problems that occur due to errors or omissions in the information provided by participants.
V. Intellectual Property
All materials related to the Expedition, such as promotional content, itineraries, and website content, are the exclusive intellectual property of Tales and Trails. Any unauthorized use of our brand, images, or content is strictly forbidden and requires prior approval.
W. Third-Party Services
In certain locations Tales and Trails may make arrangements with third-party service providers (such as local tour guides, activity coordinators, restaurants, or transportation services). Such services are subject to the terms and conditions of the respective service providers. Although Tales and Trails carefully selects its partners, it cannot be held responsible for the actions or negligence of third parties, whether in relation to such services, or otherwise.
X. Adventure and Risk
By booking an Expedition with Tales and Trails, you acknowledge that adventure travel involves exploration and may carry significant personal risk. Participants should be aware of the potential challenges and hazards, including environmental conditions, physical demands, and local factors that may differ greatly from those at home. It is crucial to prepare thoroughly and adhere to the guidance provided by Tales and Trails and its representatives throughout your journey.
You also acknowledge and agree that Tales and Trails, its affiliates, and its service providers are not liable for any injury, loss, or death that may occur during your travels. You accept full responsibility for your own safety and well-being while participating in travel activities. It is strongly recommended that you obtain comprehensive travel insurance to cover any potential risks.
Y. Amendments to T&Cs
Tales and Trails reserves the right to modify these T&Cs at any time. Any changes will take effect immediately upon being posted on our website. It is your responsibility to regularly review these T&Cs to stay informed of any updates.

A. Booking and Confirmation
